Moving out? Here's how to get your deposit back

Moving out is stressful enough without worrying about your security deposit. In Buffalo, most landlords and property managers do a walkthrough after you leave, and cleaning is one of the most common reasons money gets held back.

The good news: most deductions come from the same handful of spots. If you know where landlords look, you can hit them before you hand over the keys.

We're A Couple Cleaners, a family-run cleaning company that's been doing move-in and move-out cleanings across Buffalo and Western New York since 2022. Here's the same checklist our crew works from.

The room-by-room move-out checklist
Kitchen

The kitchen is where landlords look hardest, and where grease hides.

  • Clean inside the oven, including racks and the door glass

  • Degrease the stovetop, burner pans or grates, and the knobs

  • Clean the range hood and filter

  • Empty, unplug, and wipe out the fridge and freezer, including drawers and door seals

  • Pull the fridge and stove out if you can and clean behind and under them

  • Wipe inside and outside every cabinet and drawer

  • Clean the microwave inside and out

  • Scrub the sink and faucet, and run the disposal clean

  • Wipe the countertops and backsplash

Bathrooms
  • Scrub the tub, shower walls, and grout, and remove soap scum

  • Clean the toilet top to bottom, including the base and behind it

  • Clean the vanity, sink, and inside the cabinet and drawers

  • Polish the mirror and fixtures

  • Wipe the exhaust fan cover

  • Mop the floor, especially the corners behind the toilet

Bedrooms and living areas
  • Dust ceiling fans and light fixtures

  • Wipe baseboards, door frames, and doors

  • Wipe light switches and outlet covers

  • Clean interior windows, sills, and tracks

  • Wipe out closets, including shelves and rods

  • Spot-clean scuffs on the walls (check your lease before patching nail holes)

Floors, last
  • Vacuum every room, including closets and along the edges

  • Mop hard floors

  • Vacuum stairs and wipe railings

  • Check the basement, laundry area, and storage spaces if they're part of your lease

The spots that cost people their deposits

These are the areas we see skipped most often, and the ones landlords check first:

  1. Inside the oven. Baked-on grease is the number one deduction we hear about.

  2. Behind and under appliances. Crumbs, dust, and grease collect where nobody looks until the fridge moves.

  3. Inside cabinets and drawers. Crumbs and sticky shelf spots make a unit look uncleaned.

  4. Baseboards. Dust lines show up fast in an empty room.

  5. Window tracks. Western New York winters leave grime and moisture buildup in the tracks.

  6. Bathroom grout and the base of the toilet. These read as "dirty" even if the rest of the bathroom is clean.

  7. Pet hair. If you had pets, check vents, corners, and under radiators.

Take dated photos of every room when you're done. If there's ever a dispute over your deposit, those photos are your proof.

Do it yourself or hire a pro?

If your place is small, in decent shape, and you have a free day after the furniture is out, you can absolutely handle this yourself with the checklist above.

Hiring a move-out cleaner usually makes sense when:

  • You're moving on a tight timeline and need the place done the same day or the day after

  • The oven, fridge, or bathroom needs real degreasing or scrubbing

  • You had pets

  • You're moving out of a larger home or a place with stairs and a basement

  • Your deposit is large enough that a deduction would cost more than the cleaning

Timing tips for Buffalo moves: Schedule the cleaning after the movers leave so the unit is empty. End of the month is the busiest time for move-out cleanings, so book a week or two ahead if you can. In winter, plan for salt and slush being tracked in during the move, and save the floors for last.

How long does a move-out cleaning take? Most apartments take a two-person crew a few hours. Larger homes, or homes with heavy buildup, take longer.

Do you bring your own supplies? Yes. We bring all cleaning supplies and equipment.
